What you'll accomplish
By the end of this guide, you'll have a searchable, AI-powered knowledge base containing your revenue cycle team's most important reference materials — billing SOPs, payer-specific requirements, denial code guides, and training materials. Notion AI lets your billing staff ask questions in plain English and get answers from your actual documentation, not generic internet results.
What you'll need
Go to notion.so → sign up → create a new workspace named something like "RCM Operations" → confirm your email.
What you should see: Your Notion workspace with a sidebar on the left and a main content area.
Click Settings → Plans → upgrade to Notion Plus ($16/month) → then add the AI add-on ($10/month) → confirm.
What you should see: An "Ask AI" button appears at the top of pages and an AI option appears in the quick access menu.
Create a new Page in Notion called "RCM Knowledge Base." Then create sub-pages for each major category:
What you should see: A hierarchical page structure with your main knowledge base page linking to each category.
Start with your most commonly referenced material. Options:
For each SOP, use a consistent format:
What you should see: Pages with organized, structured content. Even rough drafts are useful — Notion AI can help you improve them.
Click inside any page → click Ask AI (or type /ai) → ask AI to improve what's already there:
"Improve this SOP to be clearer and more step-by-step. The audience is new billing staff."
"Add a 'Common Mistakes' section to this guide based on the steps described."
"Write a summary paragraph at the top of this page for someone who wants the quick version."
What you should see: AI edits or adds to your document in place — you review and accept or reject each change.
The most powerful feature: staff can ask questions and get answers from your documentation.
Tell your billing team: Open Notion → navigate to RCM Knowledge Base → click Ask AI → type their question.

For workflows that aren't yet documented, use Notion AI to draft them:
Click in a blank SOP page → type /ai → select "Draft with AI" → describe the SOP:
"Write a step-by-step SOP for handling timely filing denials for Medicare outpatient claims. Include: how to verify the original claim submission date, what documentation to gather, and how to submit the appeal."
What you should see: A complete draft SOP that you review and edit for your specific workflows — much faster than writing from scratch.
For drafting a new denial resolution guide:
Write a step-by-step guide for resolving [denial type] denials from [payer].
Include: what causes this denial, what to check first, how to determine if it's appealable,
what documentation to gather, and how to submit the appeal. Audience: medical billers
with 1-2 years of experience.
For creating a payer-specific requirement page:
Create a reference page for billing to [Payer Name]. Include sections for:
prior authorization requirements, timely filing deadlines, appeal submission portal,
contact information for provider relations, and common denial patterns with resolution steps.
Format as a quick reference card.
For improving an existing document:
This document was written by billing staff and is accurate but hard to follow.
Improve it to be: clearer, better formatted, with specific step-by-step instructions
where the text is currently vague. Keep all the factual content — just improve the
readability and structure.
